Dispatch & staff

Phlebotomy dispatch software for teams that work in the field

See the whole day on one board, assign every appointment to the right phlebotomist, keep service areas and territories honest, and give your staff a mobile view that shows exactly what they need — and nothing they should not see.

The problem

Coordination by group text does not scale past two people

The moment a second phlebotomist joins, someone has to know who is going where, whether the afternoon is covered and what happened at the last stop.

Assignments live in messages

Addresses and changes are scattered across threads nobody can search later.

Gaps found too late

An unassigned appointment surfaces the morning it is due, when there is no room to fix it.

No visibility on the road

You cannot tell whether a phlebotomist is en route, arrived or long finished without calling them.

Today's board

The day, laid out by who is covering it

The dispatch board puts unassigned work in its own column beside each phlebotomist's day. Nothing hides at the bottom of a list, and you can see coverage collapse before it costs you an appointment.

  • Unassigned queue that stays visible until the work is placed
  • Each phlebotomist's stops in time order with addresses and services
  • Zone labels so out-of-territory assignments stand out
  • Per-person day totals for stops, mileage and drive time
  • Live status on every card, from confirmed through to completed

Assignment

Assign an appointment to a specific phlebotomist and the platform notifies them, updates the appointment status and adds the stop to their field view. Reassigning works the same way — one change, everyone informed.

Workload

Coordinators can see who is loaded and who has capacity before the next booking is placed, instead of discovering it at 4pm when someone is still three towns away.

Status tracking

Everyone works from the same status

Field staff update status from their phone. Owners and coordinators see it on the board without making a call.

  • Requested
  • Confirmed
  • Assigned
  • En route
  • Arrived
  • Completed
  • Canceled
  • Rescheduled
  • No-show
One source of truth
The board, the calendar and the field view are the same appointment, not three copies drifting apart.
No-shows on record
Captured with a reason so the pattern shows up in reporting instead of being forgotten.
Notifications follow status
Assignment and change notices reach the right person automatically.

Service area & travel

Coverage and travel fees defined once, applied every time

Decide where you work and what travel costs, then let the booking page enforce it. Patients outside your coverage are not offered times, and patients inside it see the correct travel fee before they confirm.

  • Coverage by ZIP code, city, county, radius from a base location, or named zones
  • Flat travel fees per zone
  • Mileage-based rules, including free mileage up to a threshold
  • Zone-based pricing with different fees per area
  • Included travel areas where no fee applies at all
  • Staff territories aligned to the same zones

Staff & permissions

Invite your team without handing over the whole business

Roles are separate on purpose. A phlebotomist needs today's stops, not your pricing, payouts or subscription.

Owner / admin

Full control of the business account: settings, branding, services and pricing, service areas, staff, payments, subscription and reporting.

Coordinator / office staff

Runs the day: full calendar, dispatch and assignment, patient records and intake, operational reports — without access to branding, staff permissions or billing.

Phlebotomist (field)

Sees only assigned appointments, with the address, instructions, contact options, navigation and the intake details relevant to that visit.

What owners control per staff member

  • Role and permission level
  • Working availability and days off
  • Territory or service zones they cover
  • Which services they are able to perform
  • Access to a staff member's assigned schedule

Access that ends when employment does

Staff are invited into your business account and can be deactivated by an owner. Removing access removes it everywhere — the board, the calendar, patient records and the mobile field view.

Phlebotomist view

A field view built for a phone in a parked van

Your phlebotomists are not going to run a dashboard between stops. They get a focused view of the work assigned to them, with the details that make the visit succeed and status controls they can hit in one tap.

  • Today's assigned stops in order, with times and services
  • Patient address with a navigation link
  • Contact option for the patient on that appointment
  • Appointment instructions, preparation notes and access details
  • Relevant intake answers and permitted attached documents
  • Status controls for en route, arrived, completed, and issues or no-shows

What they do not get: your pricing strategy, payouts, subscription, other staff members' schedules or patients they were never assigned.

Questions

Dispatch questions owners ask

Can a phlebotomist see appointments that are not theirs?

No. Field users see the appointments assigned to them and the details attached to those appointments. Access to everything else is controlled by role.

What happens to an appointment nobody has been assigned to?

It stays in the unassigned column on the dispatch board and is counted on the dashboard, so it remains visible until somebody places it.

Can I limit a phlebotomist to certain zones or services?

Yes. Each staff member can be given a territory and the services they are able to perform, alongside their own availability.

Does the platform plan routes automatically?

Assignment, zones, workload and mileage visibility come first. Advanced automated routing is on the roadmap rather than available today.

Is there a limit on how many phlebotomists I can add?

Staff limits depend on the plan you choose. Tell us how many phlebotomists you dispatch and we will point you at the right one.
