Booking & scheduling

Phlebotomy booking software that works while you are drawing

Give patients a branded page they can book on at any hour, with availability that already accounts for your hours, your buffers, your drive time and your service area — so the appointments that land are appointments you can actually keep.

The problem

Every missed call is a patient who books somewhere else

When booking depends on a person answering the phone, the business can only grow as far as that person's free hours stretch.

Phone tag

You are mid-appointment. They leave a voicemail. You call back at 6pm. They have already found someone else.

Double bookings

Two appointments in the same window, forty minutes apart, because nothing was checking drive time.

Half-prepared patients

You arrive and the patient has eaten, has no requisition, or is not the person you expected to draw.

Your booking page

A booking page that carries your name, not ours

Every business on the platform receives its own public booking URL. It shows your logo, your services, your prices, your hours, your coverage and your policies. Share it on your website, your Google Business Profile, in text messages, on social posts or from a printed QR code.

  • Your branding and business contact details on every step
  • Services listed with your durations, prices and preparation instructions
  • Address entry checked against your service area before times are offered
  • Travel fees calculated from your own rules and shown in the summary
  • Policies acknowledged and timestamped as part of booking
  • Payment taken at booking wherever you require it
  • No patient logins to your dashboard — patients simply book

What the patient does

  1. Pick a service

With your price, duration and preparation notes shown up front.

  2. Enter the address

Checked against your coverage before a single time is shown.

  3. Choose a time

Only slots you can genuinely staff appear.

What you get

A confirmed appointment with the address, the service, the intake answers, any uploaded documents, the applied travel fee and the payment status already attached — before you have spoken to anyone.

Availability

Rules that stop unbookable appointments before they happen

Availability is not a single opening-hours field. It is the combination of your business hours, each phlebotomist's schedule, the time between stops and how much notice you need.

  • Business hours — per day, with different hours on different days
  • Blocked dates — holidays, training, personal time, closures
  • Appointment buffers — space between stops so travel is not fiction
  • Lead time — the minimum notice before a patient can book
  • Same-day rules — allow, restrict or switch off same-day booking
  • Staff availability — individual schedules feed the slots patients see

Service catalog

Each service configured on its own terms

A specialty kit draw is not a routine draw, and neither is a specimen pickup. Configure each one the way it actually runs.

Price & duration

What it costs and how long to hold on the calendar.

Instructions

What the patient must do beforehand, shown at booking and in reminders.

Intake questions

The questions this specific service needs answered.

Availability rules

Days, hours or staff a service is restricted to.

Travel settings

Whether travel applies and how it is charged.

Payment rule

Prepay in full, deposit at booking, or invoice afterwards.

Documents

Whether a lab order or requisition upload is expected.

Visibility

Public on the booking page, or internal for staff-created appointments only.

Intake & documents

Collect what you need before you are standing at the door

Build the intake form per service and ask only what your workflow requires. Answers arrive with the appointment, so the phlebotomist walks in already knowing what they are dealing with.

  • Short text, long text, single and multiple choice, yes/no and date questions
  • Required or optional, with per-service question sets
  • Permitted document upload for lab orders and requisitions
  • Policy acknowledgements captured and timestamped
  • Answers visible to the assigned staff member on the appointment

Your forms, your call: you decide what each service asks for. Your business stays responsible for how that information is collected, stored and used.

Appointment management

One record, from request to completed

Calendar and list views over the same appointments, with a status that tells everyone where things stand.

  • Requested
  • Confirmed
  • Assigned
  • En route
  • Arrived
  • Completed
  • Canceled
  • Rescheduled
  • No-show

Book it yourself too

Patient self-booking is not the only route in. Create appointments manually for phone bookings, referrals and standing arrangements.

Reschedule without the mess

Move an appointment and the patient notification, the assigned staff member and the calendar all follow.

Cancellations on record

Cancellations and no-shows are captured with a reason, so the pattern shows up in reporting instead of in your memory.

Notifications

Reminders that go out without you remembering

Automated messages at the points where appointments usually fall apart.

Booking confirmation

Sent the moment the appointment is made, with the service, time, address and your preparation instructions.

Appointment reminders

Timed ahead of the visit so fasting and preparation instructions land while they are still useful.

Change notices

Reschedules and cancellations notify the patient and the assigned phlebotomist together.

Payment confirmations

Receipts for prepayments and deposits, issued under your business name.

Staff assignment

Phlebotomists are notified when work is assigned to them or changes.

Email now, SMS planned

Email notifications at launch, with SMS on the roadmap.

Rebooking

The patients you already have are the easiest to book

Completed patients can be rebooked in a few clicks from their record, with their address, service and preferences already in place. For businesses running recurring draws, automated rebooking reminders are planned so a repeating schedule does not depend on somebody remembering.

Questions

Booking questions owners ask

Is the booking system built in, or does it link to a third-party scheduler?

It is built into the platform. Your booking page, availability, service area checks, intake and payment rules all run inside Phlebotomy Software rather than handing patients off to an external scheduling tool.

Can patients book outside my service area?

No. The address is checked against the coverage you configured before any times are offered. Addresses outside your zones are not bookable, and you decide how that is handled.

Can I still take bookings over the phone?

Yes. You can create appointments manually from the dashboard, and they behave exactly like self-booked ones — same statuses, intake, notifications and payment options.

Do patients need an account or a password?

No. Patients book through your public page. They are never issued logins to your dashboard.

Can I stop same-day bookings?

Yes. Same-day booking and minimum lead time are both settings you control, and they can differ from the rest of your availability rules.
